SkoolaX is a school-management application built by Jopex Investment Ltd. This Privacy Policy explains what personal data SkoolaX collects, why, how it is shared, and how it is protected. It should be read with our company-wide Terms & Conditions, Security Policy, and Your Data Rights, which apply to SkoolaX as they do to all Jopex products. We handle personal data in accordance with the Personal Data Protection Act, 2022 of Tanzania and its Regulations.
1. Who is responsible for the data
SkoolaX is used by registered schools and the families and staff connected to them, and responsibility for personal data is shared accordingly.
When a school records information about its students, parents, and staff, the school decides what is collected and why. In law it is the controller of that information, and Jopex acts as its processor, handling the data only on the school's instructions and on its behalf. This matters in particular for student records, which schools enter under their own authority and consent arrangements with parents and guardians.
For a narrower set of data, Jopex is itself the controller: the account credentials of the person who registers, our security and device logs, support correspondence, and the technical information we use to keep the platform running and safe.
If you are a parent, guardian, teacher, or student and have a question about how your school uses your data, the school can answer it most directly, and we will support the school in responding.
2. What we collect
Most of what SkoolaX holds is entered by schools and the people using it:

A little information is collected automatically as you use the app: a push-notification token, registered through Firebase Cloud Messaging so that we can deliver notifications to your device; and authentication and security data such as one-time-password events, session tokens, and sign-in times, which we use to operate and protect the Service. SkoolaX does not use advertising networks and does not collect your location, your contacts, or audio.
SkoolaX is designed for adults. Students do not create their own accounts; information about them, who are usually children, is entered and managed by their school under its own legal authority, and we treat that data with particular care.
3. How we use the data
We use personal data to provide the Service, in the way you would expect: to create and manage accounts, display school, class, and student records, deliver results and announcements, and verify users through one-time passwords. We use it to process fee payments, to send the notifications you have chosen to receive, to keep the platform secure and to prevent fraud and abuse, to answer support requests and improve reliability, and to meet our legal, regulatory, and tax obligations. Depending on the purpose, we rely on the performance of a contract, your consent, our legitimate interest in running a secure service, or a legal obligation, and, for data handled for a school, on the school's instructions.
4. How the data is shared
We do not sell personal data, and one school's data is never shared with another. Each school's information is kept logically separate, so that the administrators, teachers, and parents of one school can only ever see that school's data and never the data of any other school. Within a school, people see only what their role allows.
Beyond the school itself, data is shared only as far as running the Service requires: with the service providers who help us operate SkoolaX, namely Firebase Cloud Messaging for notifications, our SMS provider for one-time passwords, and our hosting provider, each bound by contract to protect the data and use it only as we instruct; and where the law, a court, or a competent authority requires disclosure, or where it is needed to protect rights, safety, and security. If Jopex were ever involved in a merger or sale, data would transfer subject to this Policy. A current list of the providers we use is available from info@jopex.co.tz. Apart from these limited cases, we do not disclose a school's data to anyone else.
5. Keeping and protecting the data
We keep personal data only for as long as it is needed or the law requires, and schools control how long the records they manage are kept; the detail is in our SkoolaX Data Retention Policy. The data is protected by the measures in our company-wide Security Policy, including encryption in transit, hashed credentials, token-based sign-in, and strict access controls. Our infrastructure is intended to be hosted in or accessible from Tanzania; where any data is processed elsewhere, for example by a global notification provider, we apply safeguards consistent with the 2022 Act.
6. Your rights and choices
You may see, correct, or ask us to delete your personal data, object to or restrict certain uses, withdraw consent, and complain, as described in Your Data Rights and the SkoolaX Account Deletion Policy. Where your school is the controller, we will pass on or support your request as appropriate.
We may update this Policy as SkoolaX develops; where a change is significant we will say so in the app or by other reasonable means, and we will revise the date above. Questions can be sent to info@jopex.co.tz, and you may also contact the Personal Data Protection Commission of Tanzania.
